4.1.2.1 Filing and Reporting

Filing a UK Application  This stage assumes that you have a final version of the specification ready for filing. This should be prepared in pdf format, as a single file specification, with the drawings prepared as a separate pdf document.  We use Intellectual Property Office – Patents – Online Form 1 (ipo.gov.uk) in every case, unless we are prevented from doing so. It is normally the Patent Administrator’s job to prepare applications for filing. 

  • Pay the fees using the Capital on Tap Credit Card

Reporting Filing

Before creating any letters, make sure that you have entered the new application details – number and date – into Equinox, and that all other entries are correct, particularly the official title of the invention, which might have changed from when the file was created.

  • You will normally report filing using standard letter UKPB10 as a basis. The exceptions are:
    • UKPB10a – where the application requests Combined Search and Examination;
    • UKPB11 – where the application claims priority from an earlier application;
    • UKPB12 – where the application has been filed without a request for search.
  • Prepare a cover sheet using UKPB01. If you are reporting by mail, you can simply print this on letterhead and staple it to a printed copy (double-sided) of the specification and drawings. If we are reporting by e-mail, print to pdf with letterhead and leave the resulting file open while you add the specification to the pdf by using the Create pdf button in Word without letterhead. Then save the document.
  • Next prepare a Progress Chart using UKPB16 for a normal application with request for search, UKPB16a for an application with request for CSE, UKPB17 where no search has been requested, and UKPB18 for a follow-on application claiming priority from an earlier GB application. Print this on the Quality Printer in colour, or create a pdf.
  • The invoice should be prepared, based on the quotation, and acknowledging any payment already made.
  • Print off, or include, a copy of “Patent Pending – what now?”, which you will find in Fact Sheets\PDF versions.
  • Finally, include a copy of the official filing receipt, printed or pdf as appropriate.
