2.3.2 Contact Moved or Gone Away

In order to keep our records up to date so that mailing lists are as accurate as possible, when e-mails or letters are undelivered or returned marked “gone away” or  “not known”, etc, please do the following, after confirming that we got the correct address for the firm:

  • In the Address Book, make a note of the status

In the case of returned e-mail, it will be necessary to do a bit of further investigation before closing down the contact entry as shown above, for example by doing an internet search for the company, but in both cases it is vital that we clear dead entries from our database as soon as possible, to avoid:

  • risking loss of rights for clients by communicating with the wrong address; and
  • wasting time and money in sending out mail-shots to non-existent addresses.
