5.4.3 Foreign Trademark Renewals

We normally send out the first renewal reminder at 6 months before the due date. As a first step, send an e-mail to the foreign associate recorded on the file to ask for the renewal costs (unless you have a similar recent renewal in that country to guide you). When you have the renewal costs, do the following:

  • Enter the total cost (Add Charge) from the foreign associate (official fees, their fees, and any tax) in the Charges section of the case file in the foreign currency, assuming the associate’s quote is not in sterling, with wording “Foreign Associates’ fees and Official fees”.
  • Calculate 25% of this (round down to a sensible figure) and Add From Charge Sheet Item 999, using your calculated figure.
  • Also add from the Charge Sheet item 5530.
  • Assuming the client is UK-based, add all the figures together and then multiply by 1.2 to add VAT.
  • Generate the Standard e-mail “Trademark Foreign Renewal Reminder”, adding in the calculated cost.

Once you have sent the e-mail, generate a second reminder task for 4 months before the due date.
